Planning for the 2025 Gathering of the Guilds show in Portland is hitting its stride. Teams are assembled and working hard to make this a terrific new event for PNWS members.
You can learn more about the overall event here, and PNWS efforts here. There is booth space available for those wanting to take advantage of this high-traffic sales opportunity. PNWS will also have a gallery space where interested members will be able to show 1-3 pieces depending on number of pieces submitted and space availability. If you want to be assured a booth space, you must apply by November 13. Early application also increases your ability to select a specific booth location.
Booth Application Details – Early Interest
SHOW DATES: April 25, 26 & 27 2025 (Friday – Sunday)
LOCATION: Oregon Convention Center Hall D, Portland, Oregon
EARLY APPLICATION AND PAYMENT DEADLINES: Applying with the Early Interest Application requires a deposit and ensures you will be allocated booth space at the event. Applications for booth space received after the Early Interest period will be confirmed on a first come, first served basis.
SUBMITTING APPLICATIONS: For Early Interest applications, fill out the form here.
APPLICATION COMPLETION: For all applications, full payment must be submitted by mid-February. Please note that booth fees and a profile photo as well as 3 photographs of your work must accompany your final application. These images are used to promote the event and increase your representation.
PNWS MEMBERSHIP: Remember you must be a member to participate in this show. Your application will not be accepted unless your membership is paid in full. You can renew your membership on the PNWS website if needed. This will be separate from the show application.
BOOTH DETAILS: Booth space includes a draped back wall, advertising, insurance, 24×7 security, dock agents, etc. A 5 amp electrical cord is included for each 10×10 space. This will be shared by split booths and kind cooperation is expected. In addition to PNWS promotion, your work will be included on the Gathering of the Guilds website (example from 2024).
All tables, chairs, shelving, pedestals, etc are the responsibility of the participant. Some PNWS pedestals will be available if reserved in advance.
The Oregon Convention Center has some requirements per fire code and safety, which must be followed. Top-heavy or dangerously sharp work is inappropriate for this kind of an event.
Commission is only collected on sales that exceed the cost of the booth. For sales beyond booth cost, 25% flat rate. Commission can be reduced by volunteering, with a reduction of 1% per hour of approved volunteer work, down to a minimum 10% commission.

PNWS logistics coordinator Wayne Bunker will organize booth sharing and specific booth location, so feel free to sign up for a partial booth. If you want to share space with a particular person, make a note of that in your application.
REFUND POLICY: If an artist cannot participate and needs to drop out of the show, they must notify one of the PNWS Co-Chairs via email and a refund will be issued according to the following dates. The Co-Chairs reserve the right to review and refund all or portions of the booth fee if extenuating circumstances have occurred.
REFUND DEADLINES:
❖ 100% refund if cancellation is received by February 14, 2025.
❖ 50% refund if cancellation is received between February 15 & March 15, 2025.
❖ No refunds after March 15, 2024, unless it is an emergency situation or our show is canceled due to unforeseen circumstances.
