New Events Collaboration Tool
A new events management and collaboration tool has arrived for the PNW Sculptors! You may have already seen and used the information/sign up link Russ has been using for the Troutdale Arts Festival. Here is a little background on the new process the board approved for all events going forward. Please note that if the tool does not work for you, the event managers will still be available to help you participate in all events.
What the heck is the event collaboration tool? It is a fancy way of describing an online document that can be used for a group to collaborate. I’m guessing that cleared things up for almost no one. The best place to start is to describe why we want to use this and how it address the issues of the old way of doing business.
The traditional way of managing an event is through a series of emails. An event manager sends out the what, where and when for the event. Participant sign up, jury activities occur, changes are updated all via a multitude of emails from many people. As a participant, I have to dig through a dozen or more emails for the info I need. Event managers are juggling emails from dozens of people. Long story short, it’s a lot of information flying around that is difficult to use. The goal is to consolidate all this information into a single location which is the event collaboration tool/document. Access to the document will be via a shared link.
If this sounds good, it gets even better! This is a collaboration document because it can be edited by anyone with the document link. I think I just heard a gasp. But what if I screw it up? A great feature of Google Docs is it is continuously saving so if you make a mistake the document can be recovered back to any point in time. The ability for everyone to edit the document creates incredible labor saving. Now you can go to the link and see where help is needed and sign up for volunteer times or add content if you are managing a part of the event. The event manager does not need to sent out update emails.
